Adoption support so the system actually gets used

A system nobody uses produces nothing, however good it is technically. This is the part most often skipped, and most often the reason an AI project gets written off as a failure.

Why adoption fails even when the system works

The team was not involved when the process was mapped, then was asked to change how it works once everything was already built. The old SOP still stands on paper while the new system demands a different flow. Nobody owns checking whether the tool is still in use after the first week.

What looks like resistance to technology is usually an absence of clarity: who decides what, and what happens when the system gets it wrong.

What we do

  • Role-based training — each role is trained on the flow it actually runs, not given a feature tour.
  • Revised SOPs — procedures rewritten around the new flow, including exception handling and escalation.
  • Defined ownership — who owns each flow, who handles exceptions, who decides when the system is unsure.
  • Adoption monitoring — measuring real usage and exception rates after go-live rather than relying on verbal reports.
  • Periodic tuning — monitoring results feed back into thresholds and flows, because initial assumptions rarely survive intact.

What we measure after go-live

  • What share of cases genuinely passes through the new flow
  • How many are raised as exceptions, and whether that number falls over time
  • How long one cycle takes now compared with before implementation
  • Where people still fall back to the old way — that always signals something unresolved in the flow

Typical duration: Runs alongside implementation. Final scope is set after the audit.

Common questions

What people ask most.

How long until results show?

For a first automation sprint, clients typically see measurable results within 8–12 weeks of kickoff.

What if the team refuses to use the new system?

Resistance almost always has a concrete cause — the new flow is slower, exception ownership is unclear, or training missed the day-to-day work. Adoption monitoring exists to find that cause, not to judge people.

Does support continue after the project ends?

It can, through a retainer: performance monitoring, flow tuning, and extension to other divisions.
